The right tools, nothing connecting them, and AE calendars under half full
Design Pickle has sold design as a subscription since 2015. Growth leaned on paid ads, and the cost of acquiring each new customer kept climbing with it.
On paper, sales had the right stack: Clay, Apollo and HubSpot were already bought and paid for. Nothing connected them. Outreach stayed manual, campaigns failed without anyone noticing, and a good week produced about ten demos. AE calendars were running below 50%.
Acquisition cost rising with paid ads
Three tools owned, zero integration between them
Manual outreach and campaigns failing quietly
About 10 demos in a good week
Four building blocks, built on the tools they already owned
The work was not buying more software. It was turning what Design Pickle already paid for into one connected outbound system, synced into HubSpot.
-
1
Website visitor identification
Vector identified the companies browsing the Design Pickle site, so high-interest visitors stopped being anonymous traffic and became outreach the same week.
-
2
Qualification at scale
Clay moved from basic list-building to enrichment and qualification logic that decides automatically which companies deserve time on an AE's calendar, before a rep ever looks.
-
3
Persona messaging
One generic sequence became distinct messaging per buyer type, so a marketing leader and an agency owner each read the version written for them.
-
4
Deliverability and CRM sync
A sending setup built to land in the inbox rather than the spam folder, with every touch synced back into HubSpot so the whole pipeline lived in one view.
Same-week visitor outreach
Companies already looking at the site were contacted within the week, while their interest was at its highest.
Calendar-worthiness scoring
Clay scored every prospect automatically, so AEs only saw demos worth their time.
Persona-specific copy
Separate messaging for marketing leaders and agency owners instead of one sequence for everyone.
Inbox placement protocols
Deliverability rules that protect inbox placement as sending volume grows.
From about 10 demos a week to 29, and a record 58 demos in 14 days
Weekly demos went from roughly ten to 29, and Design Pickle broke its booking record with 58 demos in a single 14-day stretch. AE calendars reached 100% utilization, and the team brought in more AEs to keep up with demand.
Acquisition moved off expensive paid ads and onto an outbound system running inside HubSpot, on software they already owned.
“Before we started, we had a few demos booked a week. Now we have broken our demo booking record, securing 58 demos in the past two weeks. Our Account Executive's calendar is now full, so we have to bring other AEs to keep up with the demand.”
If you already pay for good tools and still book too few demos, the gap is rarely the tools. It is the system connecting them: who gets targeted, what each audience hears, and whether the email reaches an inbox at all.
